A successful office or shop renovation in Tanzania starts with a clear brief and a fixed layout, a survey of the existing building, landlord and council approvals where needed, and a programme that keeps your business running. Plan the electrical, data, air conditioning and plumbing changes early, agree working hours with the contractor, and finish with a proper snag list and handover. Use the checklist below to plan each step.

Step 1: Define the brief

Write down what the renovation must achieve: more workstations, a better customer area, new branding, improved air conditioning or simply a refresh. Decide what must stay, what can move and what must be replaced. A clear brief is the best protection against changes later.

Step 2: Survey the existing space

Before designing, check the condition of the building:

  • Floor and wall condition, signs of damp or cracks.
  • Electrical capacity and the condition of the distribution board.
  • Location of water, drainage and air conditioning drains.
  • Ceiling height and what is hidden above the ceiling.
  • Fire exits, escape routes and fire equipment.

Step 3: Get the approvals

If you rent, get written approval from the landlord before any work. Structural changes, new openings, changes of use or changes to the building's exterior may need council approval. Signage often needs separate permission. Read more in our guide to building permits.

Step 4: Fix the layout and finishes

Agree the layout, furniture plan, ceiling, flooring, lighting and colours before work starts. Ask for samples of tiles, carpets and paint, and confirm lead times for imported items.

Step 5: Plan the services

ServiceWhat to plan
ElectricalLoad, sockets, lighting, backup power or UPS
DataNetwork points, server or communications room
Air conditioningUnit sizes, positions, condensate drains
PlumbingKitchenette, washrooms, water storage
Fire safetyAlarms, extinguishers, emergency lighting, exits
SecurityCCTV, access control, safes and strong rooms

Step 6: Plan the work around your business

Decide whether the space will close, or whether work will be done in phases, at night or on weekends. Agree noise and dust controls, how the site will be separated from staff and customers, and how deliveries will reach the site.

Step 7: Budget and contract

Get a priced bill of quantities based on the agreed layout, and keep a contingency for hidden problems found when walls and ceilings are opened. Agree the programme, payment stages and how changes are approved. Our article on avoiding cost overruns explains why this matters.

Step 8: Handover

Before you accept the work:

  1. Walk through every room with the contractor and list defects.
  2. Test all lights, sockets, air conditioning, plumbing and alarms.
  3. Collect warranties, manuals and as-built drawings.
  4. Agree the defects period and how issues will be reported.

Frequently asked questions

How long does an office renovation take?

It depends on the size and scope. A refresh of finishes takes far less time than a full fit-out with new services. Phased work around business hours takes longer than working in an empty space.

Do I need a permit to renovate an office?

Interior refreshes usually do not, but structural changes, changes of use and external changes may need council approval. Tenants also need landlord approval.

Can renovation be done while the business stays open?

Often yes, with phased work, night and weekend shifts, and good separation between the site and your staff and customers.

What is the difference between a renovation and a fit-out?

A renovation updates an existing space. A fit-out prepares a space for a specific use, often from a bare shell. Read our article on bank branch fit-outs.
