The best apps for a small or medium construction company are the ones your team will actually use every day: WhatsApp groups for each site, Google Drive or OneDrive for drawings and documents, a timestamped camera app for progress photos, a task and drawing app such as Fieldwire or PlanRadar, and accounting software such as Zoho Books or QuickBooks. Larger contractors move to full platforms like Procore. Start simple, put one person in charge of keeping records up to date, and add tools only when a problem demands it.
We have tried a lot of apps over the years. The ones that stuck solved a daily problem on site: knowing what happened today, finding the latest drawing, and knowing where the money went.
What problems should apps solve?
| Problem | Type of app | Examples |
|---|---|---|
| Daily updates from site | Messaging | WhatsApp groups, WhatsApp Business |
| Finding the latest drawing | File storage | Google Drive, OneDrive, Dropbox |
| Proving progress and quality | Timestamped photos | Timemark, GPS camera apps |
| Tasks, snags and defects | Field management | Fieldwire, PlanRadar, Procore |
| Safety and quality checklists | Inspection apps | SafetyCulture |
| Programme and deadlines | Scheduling | GanttProject, Microsoft Project, Trello |
| Invoices, expenses and payroll | Accounting | Zoho Books, QuickBooks |
| Scanning delivery notes and receipts | Scanning | Adobe Scan, phone camera with notes |
1. WhatsApp: the site diary everyone already uses
Create one WhatsApp group per site with the supervisor, foreman, storekeeper and office. Set simple rules: morning message with workers present and planned work, photos of every pour and key stage, evening message with progress and materials needed. Keep the client in a separate group with only edited updates.
WhatsApp's weakness is that information gets buried. Export important photos and decisions to your project folder every week.
2. Google Drive or OneDrive: one home for every document
Make a folder for each project with the same structure: contract, drawings, BOQ, variations, payments, photos, reports and correspondence. Share the drawings folder with site staff so they always open the latest revision on their phones. Delete or clearly mark old revisions; building from an old drawing is an expensive mistake.

3. Timestamped photo apps
Photos with the date, time and GPS location stamped on them are strong evidence for progress claims, variations and disputes. They also reassure clients who live abroad. Free apps such as Timemark and other GPS camera apps do this. Photograph the same views every week, from the same spots, and the progress tells its own story.
4. Fieldwire, PlanRadar and Procore: field management
These apps put drawings, tasks and defects in one place:
- Fieldwire lets you open drawings on a phone, pin tasks and photos to exact spots on the plan, and track who is doing what. It has a free plan for small teams, which is a good way to start.
- PlanRadar is strong on defects, snagging and inspections, with reports you can send to clients.
- Procore is a full platform for large contractors and developers, covering documents, RFIs, submittals, budgets and more. It costs much more and needs training.
For snagging before handover, any of these beats paper lists. Our snagging checklist shows what to look for.
5. SafetyCulture for inspections
SafetyCulture (formerly iAuditor) turns checklists into phone forms: scaffold checks, toolbox talks, concrete pre-pour checks, site safety walks. Each completed check has photos, a time and a name. It makes safety a habit rather than a file that appears only when a client asks. Pair it with our site safety guide.
6. Scheduling apps
A simple bar chart programme is enough for most projects. GanttProject is free; Microsoft Project is the standard for larger contracts; Trello or Asana work for small jobs where a list of tasks with dates is enough. Update the programme every week and share it with the client. A programme that is never updated is decoration.
7. Accounting and payroll
Separate company money from personal money and record every transaction. Zoho Books and QuickBooks let you create invoices, record expenses by project, track what clients owe and produce reports for the bank, TRA and tenders. Keep receipts with every expense; scan them the day they arrive.
Track costs per project, not just for the company. Otherwise you will never know which jobs make money. Our guide to cash flow for construction companies explains what to track.

How to get your team to use the apps
The hardest part is not choosing apps. It is getting people to use them every day. What works for us:
- Start with one tool, usually the site WhatsApp group with clear rules, then add others.
- Give the right phones. A supervisor with a cracked phone and no data bundle cannot send photos. Budget for it.
- Train on a real project, not in a classroom.
- Make one person responsible for filing and checking records each week.
- Use the records. If supervisors see that their reports are read and acted on, they keep sending them.
What does it cost?
Most small companies can run on WhatsApp, Google Drive, a free photo app, the free plan of a field app and an accounting subscription for well under TSh 200,000 a month, plus phones and data. Full platforms like Procore cost far more and make sense only for larger firms.

Frequently asked questions
What is the best free app for construction management?
For small teams, Fieldwire's free plan combined with WhatsApp and Google Drive covers drawings, tasks, photos and documents at no cost.
Do clients in Tanzania expect digital reports?
More and more, especially companies, banks and clients abroad. A weekly PDF report with timestamped photos and progress against the programme builds a lot of trust.
Is WhatsApp enough to manage a project?
For daily communication, yes. For drawings, records and money, you need proper folders and accounting as well.
Which accounting app is best for contractors?
Zoho Books and QuickBooks are both widely used. Pick one your accountant knows, and set it up to track income and costs per project.
